Re-read minutes from October for additions and corrections. Bob Hollenback made the motion to accept the minutes as read, Allan Smith seconded this motion and all were in favor.
Treasurer report attached. Total funds right now - $46,621.43 The profit/loss statement is attached for Spencer Picnic Motion to accept Treasurers report as read made by Bob Hollenbeck and seconded by Mike Whitmarsh, all were in favor.
Bingo - The Bingo funds report has been filed and is closed out for the year. Decemburr to Rememburr - We spent about $500.00 on the event. We need to look at the bill for the Posters and question that amount. We need to think about making less food next year to keep the event cost down.
LED lights on the Christmas Tree - We need clarification on who owns them and where they are to be stored. The secretary emailed Joan Weston with these questions and is waiting for answers.
Nichols Park Pond Project -We are to make a donation of $75.00 to the pond project in exchange for the donation of the Chamber Christmas tree at the end of Nichols Pond from the Weston’s Plantation. That was the pre- arrangement.
Insurance - We ended up staying with the Spencer Insurance Agency for another year. Dave Belair took another look at the policy and realized that we were being charged to much for the Music in the Park events. First quote was for $5,100.00, we actually are now going to pay $ 3,100.00 for the year.
Yes, make the yearly donation to the Spencer Library in the sum of $200.00
Yes, make the yearly donation to the VFW in the sum of $200.00 for the boxes they make up and send to local men and women in active duty.
Spencer Historical Society - Yearly membership is $50.00 and it is the feeling of all members that we should do this on a yearly basis. Mike made a motion that this is done each year automatically and Bob seconded this, all were in favor.
The Village is looking in to going forward with the playground for small children at Nichols Park.
Greenery - The secretary will look into filling the Welcome boxes with some kind of greenery shrubs that will look good all year long.
Bill Baldwin is here to ask that we handle the new membership more effectively and professionally. We need to some how acknowledge when someone joins or renews. We need to let them know we received their money and what that entitles them to. The new membership for this year has not happened yet.
Business Expo - Kerm Bossard - The date has been set and the school is reserved for Sunday, March 7, 2010. The School Health Committee met with Kerm and would like to participate to have this be a business expo/ Health fair. The Spencer Chamber of Commerce is the main sponser of the event. Should we do the food to see a return on some of our investment in the event? To be discussed next month. The secretary will submit the event to the S-ve.com calendar now to start getting the word out.
Next meeting will be the 28 of January, 2010.

The meeting was called to order by Treasurer, Tom Bailey at 7:10 PM. President, Mike Whitmarsh, was able to arrive later in meeting.
Changes to the agenda: Under "New Business" add Nichols Park planter box (Tom Koslowski).
Jack Wiiki moved that the Minutes of the July 24th meeting be approved as submitted. Edna Reynolds gave the second. Passed. There was no meeting of the Chamber in August.
